When a registrar at a mid-size university asks "which SIS plays nicest with AI transcript tools?" the honest answer is: it depends less on which SIS you have and more on which version you're running and how your IT team has it configured.
Having worked inside Banner shops, Workday implementations, and Colleague environments, here's what we've actually learned about integrating AI-powered transcript evaluation into the five major platforms.
Ellucian Banner — The Most Common, With Caveats
Banner remains the most widely deployed SIS in U.S. higher education. The good news: Banner 9's REST API framework is solid and well-documented. The catch: many institutions are still running Banner 8 or have upgraded to Banner 9 but haven't enabled the APIs.
If you're on Banner 9 with APIs enabled, a modern AI transcript tool should integrate in 2–4 weeks via API. If you're on Banner 8, you're looking at SFTP-based file exchange — slower and more maintenance-heavy, but it works reliably. Roane State Community College completed their Banner integration in 18 days.
Workday Student — Modern but Requires Planning
Workday Student is the most API-forward of the major SIS platforms. Its integration framework is clean and the data model is well-structured for external connections. The challenge is configuration — Workday environments are highly customized, and what works in a reference tenant often needs adjustment for a production environment.
Plan for 4–6 weeks for a Workday integration, with a dedicated Workday admin involved from day one. The payoff is a real-time, bidirectional integration that's easier to maintain long-term than file-based alternatives.
Ellucian Colleague — Underrated Integration Story
Colleague often gets overlooked in conversations about modern integrations, but Colleague's Ethos Data Model provides a clean pathway for AI tools. Colleague shops running Ethos can expect similar integration timelines to Banner 9 — 2–4 weeks with a cooperative IT team.
Oracle PeopleSoft — Enterprise-Grade, Enterprise-Complexity
PeopleSoft Campus Solutions is powerful and deeply configurable. It's also the most complex integration environment of the five. Plan for 6–8 weeks minimum, with significant IT involvement. The integration works — but it requires a vendor that has done PeopleSoft specifically, not just "SIS integrations."
Jenzabar — Best Experience for Smaller Institutions
Jenzabar's API ecosystem has matured significantly. For smaller community colleges and regional universities, it often offers the smoothest integration path — the environments are less customized, the IT teams are smaller but more agile, and the data models are simpler to map.
What to Ask Any Vendor Before You Sign
Regardless of which SIS you're on, these questions separate vendors who have actually done integrations from vendors who are promising they can:
- Can you show me a reference customer on our specific SIS version?
- Do you use Banner's Ethos APIs or direct database access? (Direct DB access is a red flag.)
- What's the data flow — what do you read, what do you write, and to which tables/APIs?
- What happens if the integration fails mid-process?
- Who owns the integration maintenance after go-live?
